I (Jem Loves to Draw) collect, store and use personal information for transactional and marketing purposes. This privacy notice gives details of what data is collected, how it is used and how it is stored.
The contact name and company name are used to generate invoices for goods and services. PDF invoices are emailed to the client for their records; the master file and a PDF copy are kept for my financial accounts. My financial accounts (including client invoices) are saved on a password protected computer in an encrypted folder. Client invoices are kept for five years from the end of the tax year during which the invoice was raised, after this point the files are deleted from my computer. I may need to share this invoice with HMRC and other financial authorities if my accounts are inspected. A statement is included on all invoices raised after 25 May 2018 to make clients aware of how their data is stored, used and kept.
Website contact form
The name, email address and message entered via the contact form on my website are used to respond to enquiries. Enquiries are sent directly to me by email to my Gmail account. I then use this information to respond to enquiries directly. Enquiries and any subsequent replies are kept in my Gmail account and archived indefinitely. A GDPR statement and mandatory tick box is included on the contact form for individuals to consent to their data being used in this way.
Email marketing sign-up form and list
The first name and email address of subscribers are collected via a MailChimp sign-up form on my website and social media feeds. This information is stored indefinitely in MailChimp and is used to send regular marketing emails from Jem Loves to Draw (eg news, events, updates, offers). A GDPR statement and mandatory tick box is included on the sign-up form for individuals to consent to their data being used in this way. The list features a double opt in, where a follow up email is sent asking individuals to confirm their subscription. Subscribers can opt out at any time using the unsubscribe link included in all emails.
General security information
I respect people’s personal information and I will not pass on any data I collect or hold to third parties. Passwords for my computer and accounts (eg Gmail, MailChimp) are changed regularly. I do not keep paper copies of documents containing personal information.
Anyone can contact me at any time to ask what data I hold on them; they have the right to see this data and to ask me to amend it, delete it or change how it is used.
